Job Description

    • Based in Hanover, Ontario, Aldersley Securities Inc. is an independent investment advisory, currently servicing over 100 families in Ontario. Our mission is to provide sound, competent, unbiased investment advice and financial planning.The Administrative Assistant role is highly interactive with the financial advisory team, clients,
      and office visitors, where the primary goal is to deliver excellent client service. This
      position requires initiative, drive, and communication skills, while adhering to compliance rules relating to client financial information. Working collaboratively with all team members is also essential. This position reports directly to the financial advisory team.Responsibilities:
      • Meet and greet visitors and clients, answering phone calls and emails
      • General clerical duties including data entry, photocopying, and mailing
      • Prepare account opening applications and financial reports for clients
      • Coordinate and prepare meetings for advisors with their clients/prospects
      • Respond to client inquiries (account transactions, requests account documentation, account reporting, etc.).
      • Maintain existing client accounts and identify opportunities to contact clients: manage timelines and key dates for accounts
      • Provide pre and post client meeting support to advisors, including portfolio updates
      • Coordination, preparation and completion of client meeting agendas, presentations, spreadsheets, statements, forms and materials for client meetings
      • and reviews Process investment transactions (e.g. deposits, switches, redemptions, etc.) and change requests (e.g. address changes, beneficiary changes, etc.), and submitpaperwork/supporting documentation to financial institutions as required Stay current with new tools, software, updates, and technologies to help improve business processes
      • Perform any other duties as assigned

      Skills Required:

      • College diploma, University degree, or equivalent experience preferred
      • Attention to detail, strong organizational skills
      • Professional phone manner and management
      • Ability to provide exemplary customer service
      • Excellent verbal and written communication skills
      • Strict adherence to privacy and confidentiality policies
      • Strong Microsoft Office Suite skill required, including comfort with using formulas in Excel
      • Database experience an asset
      • Understanding of basic financial concepts, such as Rate of Return
      • Experience in the financial industry is an asset
      • Income Tax and bookkeeping experience an asset

      Job Type: Full-time
