    About the Role

    This role is really one suited for a jill- or jack-of-all-trades; a player who has hustle and a great attitude! The ideal Keela Office Manager will be confident and enthusiastic and above all a great communicator both in person, email, and via Slack. Do you confirm everything? Do you value assertiveness and clarity? Are you incredibly organized and have a great attention to detail? This role will give you the opportunity to dive into many departments as you will be an integral part of reporting on KPIs and analytics, ensuring our AR and AP are organized and in order, and managing our office in downtown Vancouver. This role may be ideal for a brilliant business graduate who wants to learn the various elements of start up operations, people and culture, or financial management. While you won’t run any one of these elements on your own, you will be supported and trained in the execution and facilitation of them all.     Business Administration

    • Sourcing grant opportunities and managing applications
    • Oversee day to day business administration
    • Research new innovative ways to improve business processes through technology and resources
    • Managing, alongside team leads, the Go-To-Market tech stack
    • Understand current trends applicable to our sector
    • Manage basic accounting document organization (accounts payable and receivable, expense reports, etc.) we have a bookkeeper for data entry, you will work closely with.
    • Bank reconciliations (finding and managing receipts) (and other support for our external bookkeeping team)
    • Tracking, managing, and recording personal expense reports
    • Reviewing and filling out company data and report templates
    • Maintain and update metrics and KPI records for the company (following templates provided)
    • Complete monthly reports on KPIs

    Office Management

    • Liaise and consult with staff and suppliers
    • Renegotiate vendor contracts to obtain better rates
    • Facilitating good relationships with service providers, and troubleshooting office services when needed.
    • Manage, coordinate and track office equipment and spending
    • Maintain and organize office
    • Keep various software and databases up to date
    • Provide office support including client, customer and employee support
    • Organizing and facilitating team building activities, celebrations and conferences

    Required Skills & Qualifications

    • Experience with CRM platforms such as Hubspot and Churnzero
    • Familiarity with performance metrics
    • Comfortable working with and calculating basic rates, percentages and averages ect.

    The salary for this role is $50,000 per year, plus benefits. This is a full-time role working in our downtown Vancouver, BC office. (8:00am – 4:00pm)
